POSITION SUMMARY

 

CONUS Administrative Specialist (CAS) facilitates the biographical information process for applicants and employees.

 

RESPONSIBILITIES 

  • Perform quality assurance/quality control (QA/QC) of personally identifiable information (PII) and biographical information (BIO) documents prior to submission via HITS
  • Submit PII and BIO documents in the HITS application for review and processing by DS/OPO/WPS
  • Coordinate with DS/OPO/WPS to ensure the accurate and timely processing and review of HITS PII and BIO documents
  • Facilitate personnel pre-deployment by responding to recruitment needs, ensuring candidates meet BIO requirements, and communicating current BIO status, as appropriate
  • Update records in HITS and other DS systems as appropriate, and as needed facilitate affiliation records, clearance records, training records, letters of authorization (LOAs), common access cards (CACs), PII updates, and update event records
  • Maintain records for each assigned TO, working with TO personnel to ensure that all records and deliverables are accurate and completed on time, in accordance with contract and TO requirements
  • Other duties as assigned
  • QUALIFICATIONS 
  • U.S. Citizenship is required
  • Must possess either:
    • A Bachelor’s degree from an accredited institution and one (1) year of experience performing administrative, data entry, QA/QC, records management, and information systems duties
    • An Associate’s degree from an accredited institution and three (3) years of experience performing administrative, data entry, QA/QC, records management, and information systems duties
    • A high school diploma and five (5) years of experience performing administrative, data entry, QA/QC, records management, and information systems duties
  • Upon bio approval and before beginning work on the contract, the CAS shall:
    • Obtain and maintain a Personnel Security Clearance/ Public Trust determination as required by the TO
    • Obtain and maintain an active Department OpenNet account, and remote access account and token
    • Undergo initial account setup and initial mandatory cyber security awareness training at DS/OPO/ WPS headquarters and complete insider threat training. Maintain cyber security awareness training and insider threat training certifications annually
    • Obtain and maintain access to and competence with the DS HITS, Integrated Logistics Management System (ILMS) applications and other Department systems required by the TO, with the appropriate user roles, to include mandatory initial training, and periodic refresher training as needed

WORKING CONDITIONS  

Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are Monday-Friday from 8:00 am to 5:00 pm, however some extended or weekend hours may be required.   

 

PHYSICAL REQUIREMENTS  

May be required to lift and carry awkward items weighing up to 25 lbs. Requires intermittent standing, walking, sitting, squatting, stretching and bending throughout the workday.
