The Senior Proposal Coordinator supports the proposal team in proposal planning and execution in the proposal development process. Senior Proposal Coordinator works closely with proposal teams to meet all proposal milestones, research, desktop publishing, production support, and general administrative duties.  This position takes direction from the Vice President of Proposals or assigned Sr./Proposal Manager to administer proposal planning, organizing, tracking, and coordinating proposal activities; editing and proofreading; desktop publishing; file management using SharePoint; coordinating all proposal production requirements; and all aspects of proposal administration. 




  • Supports proposal writing and development activities to meet request for proposal (RFP) requirements
  • Reads and understands Government RFPs, RFOs, RFQs, Sources Sought Notices/RFIs, and other proposal related solicitation types to facilitate and coordinate preparation of templates and responses
  • Performs all proposal desktop publishing and document clean up
  • Handles all aspects of proposal production using in-house equipment and production supplies
  • Support development of proposal schedules, outlines, and writing templates
  • Compiles, consolidates, and reviews documents to ensure consistency and completeness
  • Performs technical editing of proposal volumes, presentations, and similar documents, if requested
  • Coordinates final production to include word processing, graphics, proofreading, editing, reproduction, printing, collation and binding
  • Prioritize work flow during a proposal effort, including employing resources and troubleshooting issues, to ensure that documentation adheres to established policies, procedures, standards, schedules, and quality controls to achieve compliance with RFP requirements
  • Maintains proposal central document library and configuration management in SharePoint
  • Schedules proposal related meetings, and maintains Proposal Room calendar
  • Simultaneously coordinates activities of consultant onboarding including facilitating IT support, assisting with system access, and ensuring adherence to proposal branding standards and process guidelines


  • Bachelor’s Degree
  • 1-2 years of experience in technical writing or proposal writing
  • Experience in technical writing and proposal development for CONUS and OCONUS Government contracts and commercial clients
  • Knowledge of MS Office suite, Adobe Professional, and SharePoint is a must with preferred experience with MS-Project and MS-Visio
  • Knowledge of Adobe Illustrator or Adobe Creative Cloud is plus to facilitate augmented graphic support, if or when needed
  • Experience in interpreting Requests for Proposal from various Government agencies and commercial clients.
  • Must possess excellent reading comprehension, writing, spelling, communication, and interpersonal skills
  • Ability to work well under pressure and tight deadlines and work well with others to prompt questions and obtain required information
  • Ability to research, absorb and capture varied information; multitask and balance competing deadlines
  • Ability to multi-task and work effectively — both independently and in teams — in a fast-paced, deadline intensive environment
  • Self-starter able to take initiative and handle accountability for getting results
  • Flexible to changing schedules, working overtime, working on weekends, and possibly traveling for long and short term assignment
  • Must have an ability to obtain a U.S. SECRET level clearance

Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are Monday-Friday from 8:00 am to 5:00 pm, however some extended or weekend hours may be required. 




Small amount of local travel may be required.  Occasional international travel to austere locations could be required.  May be required to lift 20 pounds.
